Email address change

Effective August 1, 2007 for school year 2007-2008

In an effort to minimize the confusion of multiple usernames and logins, we as a district are moving forward with a systemwide update to our email system. This move is one step in a strategic plan to standardize our usernames using the first initial last name convention. Further down the road we will be migrating other accounts to make a unified login a reality. We look forward to providing you with the best possible support in this migration. With everyones cooperation and patience this transition should be smooth and seamless.

Email addresses will begin with your first name initial and your last name all lowercase. For example Jane Smith would be jsmith@northbrook28.net. If two staff members have the same last name & same first initial we will add the number 2 based on date hired. For example Jane Smith and John Smith will be jsmith@northbrook28.net and jsmith2@northbrook28.net

The goal is to simplify the user’s experience while offering security and reliability. The naming convention will be the same for both for e-mail and network login, which will be easier for the user. This change will address the issue of duplicate last names. The district will now have a standardized naming convention for all staff.

Process
The change is not until August 1, 2007, giving us all time to make necessary changes in our communications.

What will still be there?

  • Your password will remain the same
  • The district list of employees and the district managed groups (such as The Whole Enchilada), will all remain the same. You don’t need to do anything.
  • The personal contacts that you may have added will still be there.
  • The district email “address book” will be there to look up new addresses.
  • The changes will be noted in District communication such as the websites and calendars to ease the transition in the fall.

What are we asking you to do?
Please let your contacts outside of the district know that your email address is changing August 1, 2007. If your email address is used on professional list serves, alert them to the change as of August 1. If you are registered with professional groups let them know so you continue receiving their communication. As you receive communications in May and June remember to email that group or individual back regarding the change, effective AUGUST 1, 2007. If you will be reading email through July from home then feel free to wait and let others know closer to the date of the change. The new address will not be operational until AUGUST 1. If you need help with this please ask a tech staff member.

What if you use your work email address for personal purposes?
Please consider the following.

  • The district email account is actually “owned” by the district and therefore not “private”
  • Your district email account has restrictions that may be more stringent than another service provider
  • Your district email account ends when you retire or leave District28.

This is an ideal time to move your personal communications to another email account. Do this before August 1 and you will have a very smooth transition and time to notify everyone of the change.

Some of your choices for a separate personal email account include:
Email accounts available through your Internet provider such as Comcast and AT&T/SBC

Free email services through Gmail, Yahoo, MSN (Hotmail), AOL

Purchase a .Mac account, purchase an account with http://www.everyone.net

If you need help understanding how to set these up please ask one of the tech staff for help. Do this before you leave for the summer so the transition will not interrupt your personal communications.

YOUR TECH STAFF WILL HELP YOU WITH ANY QUESTIONS
WE WANT THIS TO BE AN EASY TRANSITION SO FEEL FREE TO ASK FOR HELP!
